Policies + Procedures
We seek your assistance and cooperation in following these policies and procedures while utilizing our facilities. You also may need to use one or more of the vendor forms to have a successful event.
Guidelines for Room Use & Reservations
Student Organization members requesting space must first register their event or activity with ODUS. Upon completion of the ODUS registration process, complete the Fields Center reservation request form. Please note: When completing the space reservation form it is important to inform the Fields Center staff of the exact hours you will need access to the building. If the door is not open when you arrive, call the Department of Public Safety at 8-1000 from a campus phone.
Setup and Cleanup must be arranged through the building service dept . For any event involving food, you must arrange a facilities clean-up, which will be charged to your project/grant number. For setup and cleanup arrangements, please contact: Willie Wilson at willw@princeton.edu or call (609) 258-4974.
Please reach out to this office at least 7 days prior to your scheduled event. For ordering tablecloths, extra trash cans, easels, etc., please go to the building service website, and place an order for these items.
- The kitchen must be cleaned after use and all leftovers must be thrown away -- not left in the refrigerator.
- Organizations using Fields Center space must agree to be financially responsible for all damages to the facilities used during their scheduled hours.
- Helium balloons and adhesive tapes are prohibited and cannot be used within the building.
- Furniture throughout the building is not permitted to be moved.
Alcohol: Student organizations do not normally serve alcohol at their events. If an organization is hosting an event for "of age" students at which alcohol is provided, permission must be granted by ODUS and your organization is required to secure a Public Safety officer(s) to be present for the entire time of your event. You also must follow all state and local laws and ODUS guidelines regarding the proper use of alcohol. University offices or departments wishing to serve alcohol must also abide by all state and local laws.
Rentals: Please contact building services to coordinate all set-up, pick-up, clean-up and rental of additional equipment as we are not available to do so on your behalf. All rentals and non-center equipment must be removed promptly at the end of your event, so please plan accordingly. Please call (609) 258-3490 to make these arrangements.
Audiovisual: The large event space is equipped with a mounted projector, screen, Blue Ray DVD, DVD Player, CD Player/5 disc changer. If you plan to use the A/V equipment available here at the Fields Center, you must contact the Media Service dept. @ 609-258-3196, (8/3196 on campus), or media@princeton.edu. You will need to schedule an appointment with a technician at Media Service to:
· Give you a one on one training session with the A/V equipment here at the Center.
· Make an appointment to have a technician assist you on the day of your event.
This mandatory service is chargeable to your project/grant number.
Please Note: The Carl A. Fields Center staff is not able to assist with your A/V technical needs. Media Service must be contracted for this service.
Furniture: Furniture throughout the building is not permitted to be moved.
