Policy Description

A leave of absence without pay may be granted to an employee with a minimum of one year of service, for periods of up to one year, for personal reasons such as:
  • Parental leave (care of a child)
  • Family matters
  • Community service
  • Education or training

Application of this Policy

Employee Requests
Requests for a leave of absence without pay must be made in writing to the supervisor and must be made enough in advance to provide sufficient notice for planning. The minimum notice required is two (2) weeks prior to the start of the leave. The employee should include in the personal leave request the reason for the leave and its duration.
 
Requests for personal leaves related to the care of a child or seriously ill family member may qualify as family and medical leave. (See: 3.2.1 Family and Medical Leave.)
 
Supervisor’s Approval
Before approving or denying the request, the supervisor should consider the department's operating needs and the needs of the employee, job performance and length of service. Requests for personal leaves of absence which are approved by the supervisor and the department must be forwarded to the Office of Human Resources for review and approval before the decision can be made final.
 
Leaves of Less than One Calendar Month
For leaves of less than one calendar month the University guarantees that the individual can return to the same position.
 
Leaves for longer than a Month
Leaves without pay for periods longer than a month are granted with the assumption that the employee expects to return to the University.
 
For leaves that extend beyond one calendar month the University cannot guarantee that the employee will be able to return to the same position. However, whenever possible, the employee and supervisor should discuss and agree in advance and in writing on the conditions of the leave and whether or not arrangements will be made to hold the position.
 
If it has been necessary to fill the position which the employee vacated, the University will make reasonable efforts to place the employee in a comparable position upon return from leave.
 
Benefits
During the leave of absence, medical and life insurance for the employee and vesting credits for the Princeton University Retirement Plan continue to accrue. The employee is responsible for payment of any additional premiums associated with the benefits coverage chosen.
 
Vacation
If the leave is for more than one month, unused accrued vacation will be paid at the start of the leave. No vacation is earned during the leave period.

Procedure

Employee
Submits written request for Personal Leave to the supervisor at least two full weeks in advance of the proposed leave start date.
 
Arranges with Benefits Section for payment of insurance premiums if appropriate.
 
Supervisor
Reviews request for leave, taking into account effect of leave on department operations, duration of leave, reason for leave, employee work performance and service record.
 
If approved, sends request and recommendation of approval to the Office of Human Resources for review and approval.
 
If approved by the Office of Human Resources, provides employee with written approval which details terms of the leave.
 
Prepares Leaves of Absence Form for start of leave and forwards to the Office of Human Resources for processing.

Return From Leave

Employee
Notifies supervisor, or the Office of Human Resources if position has been filled, in writing of intent to return from leave at least two (2) weeks prior to intended date of return. If leave is for one month or less notifies supervisor one week prior to return date (written notice not required).
 
Notifies Benefits Section of return to work date.
