Attendance Records

We encourage staff and/or supervisors to use the Staff Attendance and Tracking Tool, which was enhanced in June 2011 for use in FY2012. The tool enables staff members to calculate and track time off usage and balances for vacation accruals, sick days and personal days. Individuals can use an alternative departmental tool that is effective.

Because current practice varies within departments, we are providing several versions of the same tracking tool, developed in Excel, for each pay group—administrative, biweekly B (office and clerical), and biweekly A (lab and technical staff only)—that enable tracking and time off usage in either days or hours. Select the spreadsheet that best meets your needs. Directions on how to use the tool are included at the top of the sheet.

The attendance and tracking tool is based on current University policies, including prorating time for part-time employees and vacation and sick days that are permitted by policy to be carried over into the next fiscal year. If you have any questions based on departmental practices, please contact your senior HR manager for guidance or assistance.

If you have any questions about or feedback on the tool, please contact HR at 8-3300.

For more information about recording time for nonexempt and exempt staff, please review Policy 7.0.2 in the HR policy manual.
