University-wide events calendar is launched on Web site, May 15

Princeton's first University-wide, Web-based events calendar is now available, as a prototype, online and will be tested throughout the summer.

The calendar, which has been much anticipated, will serve as a one-stop public events resource for students, faculty, staff and alumni. It was created to allow community members to search for events by date and category, and to make it easier for event planners to avoid scheduling conflicts.

Users may reach the main "Public Events at Princeton" calendar by clicking the new " Public Events Calendar " link in the center of the University home page.

This main calendar is a compendium of several calendars that are administered by various University groups and departments. Calendar administrators are able to maintain departmental events listings, with events of public interest "rolling up" onto the main calendar.

The system is being introduced to the campus in three phases. The current version is the first phase, which is a prototype that includes events from calendars created by a pilot group of University departments. The second phase includes adding more calendars as organizations and departments request them. The third phase will expand the calendar's capabilities and features in response to user needs and interests.

As use increases, the Public Events calendar should become the most up-to-date source for learning about current events on campus.

This system also will change how events are submitted to the printed Princeton Weekly Bulletin calendar. When items are submitted to the online calendar, there is an option on the form that also allows and encourages submission to the Weekly Bulletin. After an initial overlap phase, the traditional Weekly Bulletin calendar submission forms on the Web site will be removed.

Along with staff members from departments that participated in the calendar's testing phase, the project was built by a team in the Web services department of the Office of Information Technology, with input from the Office of Communications.

John Wagner and Hannah Kaufman, of Web Services, worked this winter and spring to adapt the WebEvent software to the University's specific needs, under the oversight of Betty Leydon, vice president for information technology, and Robert Durkee, vice president for public affairs. The current team's work represents the continuation of efforts begun by the Administrative Process Team led by Eric Hamblin and Lorene Lavora.
