Registering an event
All student organization events must be registered with ODUS for review and approval, including regularly scheduled meetings and rehearsals, as well as any events off campus. If the event is off campus and involves staying overnight, the student group must also review and comply with the new University Travel Policy. Once ODUS formally approves the event, student groups can commit financial resources to the event and begin confirming event details.
How to register your event online with OSERF
- Log onto http://studentevents.princeton.edu (aka OSERF, the Online Student Events Registration Form)
- Enter the basic event information. Be as detailed as possible for your event description.
- Please estimate the cost of your event and number of people you anticipate attending.
- If the cost of the event is not currently covered by the funds in your student organization account, please list your additional funding sources in the event description section.
- Review the list of services at the bottom of the form (you can click on the links to expand them for more information).
- Check off all of the services that you will need for your event.
- If you are checking off any services, please include what equipment or services you would like to request in the event description section.
- Review your form to make sure you have included all important details.
- Submit your event to ODUS!
- You will receive an email from stuvents@princeton.edu acknowledging your event submission. *Your event has not yet been approved by ODUS!*
- While you are waiting for final approval, contact each service you checked off to go over any equipment/services/menus for your event.
- You can also log back onto http://studentevents.princeton.edu at any time to view the progress of the approval process and any comments made by the approving services and ODUS.
- ODUS will review your event to add comments and suggestions and may contact you for additional information about the event.
- Once ODUS and all of the services have approved your event, you will receive a final confirmation email from stuvents@princeton.edu with your confirmation number. This email will also serve as event authorization to anyone who requests it.
- The confirmation email means that ODUS has approved your event concept. It does not confirm your funding or any services you may have checked off.
- After your event has been approved, you must still work to secure the necessary funds and services to plan your event successfully. This should include:
- Applying for or confirm any needed funding (see Next step - Funding).
- Contacting each service you checked off to go over or confirm any equipment/services/menu for your event.
- Confirming room or space reservation.
- Confirming any other services, vendors or speakers.
The history of registering events online
Before the launch of OSERF in the spring of 2008, all events had to be submitted on the paper events registration form in person to 313 West College. These paper forms were circulated manually across campus to receive approval from various departments, which meant a lot of running around for most students! Now students can register their events any time, any place. The approval process has also been streamlined significantly by the new online system, however the online form is still not “one stop shopping” because of the various other computer systems and forms required by different university departments.
