Beginner's Tutorial

Before you can add new events to your Events Module, you need to add some information that is tailored to your oganization. Specifically, you'll need a list of Departments, Categories, Repositories, and Locations that you can then use when creating new events.

Departments

  1. In the row of links above your Events Module, click on "Departments."
  2. Click on "Add a new department."
  3. The only field that is required is "Name."
  4. Click "Submit." When you add a new event, you are now able to select this department.
  5. Repeat until all of your departments are represented.

Categories

Any specific categories that you have for your events may be organized here.

  1. In the row of links above your Events Module, click on "Categories."
  2. Click on "Add a new category."
  3. The only field that is required is "Name."
  4. Click "Submit." When you add a new event, you are now able to select this category.
  5. Repeat until all of your categories are represented.

Repositories

A repository works in conjunction with its following field, "File name," to create a full Roxen page that you can edit and publish extended information about the event. A repository is simply a folder on your site that holds all of the detail pages. Below are the steps necessary to create a respository, link to that repository in your module, and create a detail page in the repository for any event.

IMPORTANT NOTE: It is NOT necessary to create a repository page for every event. The only time you should create a repository page is when you need to add more information than what is possible to fill out on the "Add Event" page. If the standard "Add Event" page fulfills your needs, simply skip the "Events Repository" dropdown and the associated "File name" text field.

  1. Create a folder on your site where you would like to house detail pages. For example,  "/yoursite/event_detail/" would be a good place to start if you don't have a place that makes sense within the structure of your site. This folder is now your repository.
  2. Add the repository to your Events Module. Click on "Repositories" in the top row of navigation above your Events Module, then click on "Add new repository."
  3. Type in the repository location. Using the example from #1, you would type in "/yoursite/event_detail/" into the text field. NOTE: Include the first slash and the ending slash. Save your new repository.
  4. Add a new event. When you arrive at the "events repository" dropdown, select the repository that you've added.
  5. In the following field, "File name," select a name that is unique to your event. For example, if I used "alumnidonation2009" in the field, then your detail page would be available at "www.princeton.edu/yoursite/event_detail/alumnidonation2009."
  6. Save the new event. When you save the event, the Events Module creates the detail page for you. You can then edit that detail page as you would any other Roxen site.
  7. To edit the page, view the event and click on "More about event."

Note: When adding a new event, the URL field is included so that you can link to a page outside of your site. If you include a URL, it will take precedence over the repository, and your "More about event" link will go to the URL, not the repository detail page.

Image Repository

An image repository is a folder on your site where you can upload images for use on an event page. The image repository is created for you when you add any repository. Thus, the image repository for the above example, "/yoursite/event_detail/," would be "/yoursite/event_detail/images/." Use this folder to house any images that you want to use in your events page.

Locations

Any specific locations that you have for your events may be organized here.

  1. In the row of links above your Events Module, click on "Locations."
  2. Click on "Add a new location."
  3. The only field that is required is "Name."
  4. Click "Submit." When you add a new event, you are now able to select this category.
  5. Repeat until all of your locations are represented.

You are now ready to add new events. Follow the tutorial on the Events Module page.

Edit Existing Departments, Categories, Repositories, or Locations

In the set of links above your Events Module, click on the on the section that I want to edit. On the resulting page, below "Add new (xxxxx)," are the existing entries.

To the left of each entry are two buttons: "Edit" and "Delete." Click the appropriate button to your needs, and save your changes.
