New Voice Mail Service Announcement    

OIT is working on a project to replace Princeton's voice mail service. The new service, Microsoft Unified Messaging (UM), integrates voice mail, e-mail and calendaring services. As a telephone coordinator for your department, you are receiving this notice in advance of the general campus community.    

OIT is moving University departments to the new UM service on a rolling schedule between March and May of this year. You will receive an e-mail message with more details approximately two weeks in advance of your department’s scheduled move to UM.    

An information session is being offered to introduce you to the new unified messaging service, including voice mail service. The session will also provide an overview of the new processes for requesting and changing voice mail service in your department. The session, titled “Telephone Coordinator Information Session – New Voicemail,” is being offered on Thursday, March 1 and Tuesday, March 6.
You may sign up online for either session at www.princeton.edu/training   (instructions are provided below).     

Before then, it is important to know that voice mail messages saved in the current voice mail system cannot be moved to the new service. If you (or individuals in your department) have voice mail messages that must be saved, you can convert the voice mail to audio files and have them sent to your e-mail account, where they can be saved. See, ‘ Saving Voice Mail Messages ’ for instructions.

T-Mobile Discount Reaches 15%

Verizon Discount Reaches 18%

The University has signed a new agreement with Verizon that has increased our discount to 18% on monthly service plans.  The agreement also has eliminated early termination fees and lowered the early upgrade timing from 18 to 10 months.  Please contact Mobile Technology for more information at 258CELL.

Droid on University Wifi

Android devices do not currently work on the Princeton University WiFi network.  You will be able to use them while on campus with their regular cellular signal but not on WiFi. All other devices are currently okay.  This is not a permanant problem and has been addressed for future device releases.  This message will be removed and a notification will be sent out at that time.  If you have any questions please contact 258CELL

AT&T Texting Plans Change

AT&T will no longer offer the $5 for 200 or $15 for 1,500 messaging plans.  They now only have $10 for 1,000 messages or $20 per month for unlimited.

Verizon 4G LTE

This month Verizon launched 4G LTE coverage in 38 cities. It boasts speeds up to 10 times faster than the current 3G network.  Verizon customers can choose from two 4G LTE Mobile Broadband data plans: $50 monthly access for 5 GB monthly allowance or $80 monthly access for 10 GB monthly allowance, both with $10/GB overage. For laptop connectivity, two 4G LTE USB modems will be initially available: the LG VL600 is available at launch and the Pantech UML290 will be available soon, each $99.99 after $50 rebate with a new two-year agreement. Both USB modems provide backward-compatibility with Verizon Wireless’ 3G network. If laptop users travel outside of a 4G LTE coverage area, they will automatically stay connected on the company’s 3G network.  Contact 258CELL for more details.

Mobile devices

 

The Office of Information Technology led a process, working with the Office of Finance and Treasury, to revise the University practice of reimbursing expenses for mobile communication

devices.  All employees authorized to have mobile communication devices for University business will need to purchase and service them under the University’s corporate account program.

This change is intended to enable the University to take advantage of the cost savings and flexibility that is built into corporate accounts.  

 

• Effective Oct. 1, 2010, this policy applies to all new employees.

 

• Employees currently reimbursed for their devices must transfer their accounts to the University’s program by Dec. 31, 2010.

 

• Costs above monthly service fees that are attributed to non-University business will continue to be paid by the employee.

Recycling Mobile devices

Don’t know what to do with those old department cell phones and blackberries?  We encourage departments to recycle them by sending them to Surplus c/o Daron Groce, Purchasing Department, 2nd Floor, New South Building.  The University donates the cell phones to non-profit organizations.  Please help the environment – and the community – by joining in this recycling effort. 

Voicemail Password Sharing

Employees come and go and so must their Voicemail accounts.  When an existing employee leaves the university the telephone coordinator must submit a web form to have their mailbox disconnected.  Please do not share passwords and use the old mailbox to set up a new employee.  Our office needs to have accurate records for displaying employee information on the web and in other locations in our system. AT&T Rate Plan Changes

AT&T has decided to no longer offer their unlimited data plan domestically or internationally.  The standard University plan is now 2GB of domestic data per month for $40.  However, all existing AT&T customers are grandfathered and can continue to use their unlimited plans as long as they do not change them.

The iPhone 4

AT&T announced it will offer the newly designed iPhone 4 this month. New features include FaceTime video calling, Apple's new Retina display, 5 megapixel camera and HD video recording. iPhone 4 will be available for a price of $199 for the 16GB model and $299 for the 32GB model for customers who are eligible to upgrade.  To order contact your account manager for your department. You can preorder on the 15th for delivery on the 24th of this month.

Voicemail Tips

Extended Absence Greeting: When you are out of the office for an extended period of time, you may record an Extended Absence Greeting to be played to caller instead of your Personal Greeting. An Extended Absence Greeting cannot be skipped, so that anyone who leaves you a message will be aware that you are away. Once the Extended Absence Greeting is recorded, each time you enter your mailbox you will be asked if you want to delete the Extended Absence Greeting. When you delete the Extended Absence Greeting, your Personal Greeting is reinstated. 


Follow these steps to create an extended absence greeting:
·          Dial into the system V-O-I-C-E (8-6423)
·          Enter your mailbox
·          Press 4 - Personal Options
·          Press 3 - Greetings
·          Press 2 - Extended Absence Greeting
·          Follow the system prompts to record your greeting
·          To Exit, press * until you hear "Goodbye

Rountable Meeting

In April, Telephone Services hosted a Roundtable Meeting for Telephone Coordinators.  The format consisted of five tables each hosting a different topic of interest.  The meeting was a huge success.   We are planning a similar meeting, to be held in the fall, for those Telephone Coordinators who were unable to attend this April meeting.  Details will be emailed in the coming months.  We would like to thank everyone who attended and for the great feedback.

Verizon Directories

All departments should expect their Verizon directories to be delivered in the month of April. 
Archiving Voicemail Messages


Please be reminded that the best way to save Voicemail messages is now through the use of EVM.  By signing up for
EVM your voicemail messages are delivered directly into your email inbox where they can be saved to the folder of your choice on your hard drive.  This removes the tedious task of archiving important saved messages every month.  Voicemail will only retain these messages for 21 days while saving them on your computer ensures they will not be deleted.

New Desktop Office Phones


Telephone Services is now offering the M3904 Professional Telephone. It is a multi-line digital phone supporting up to 12 lines. Enhancements include offering the largest display in its class, a personal directory, call log, and a variety of user selectable options.  They sell for $158 plus installation and are available for upgrades today.

Verizon has released the new Samsung Omnia.  This smart phone has full touch screen capability, runs on Windows Mobile 6.1 and contains a full HTML web browser.  It has an 8 GB internal memory and is expandable with a 16GB microSD™ card.  Pricing with a new two year contract is currently $199. Cost Savings Tip of the Month


Many wireless users dial 411 with their smart phones and Blackberries to acquire telephone number information for a desired destination.  Most users are not aware that in addition to using their minutes, they also get charged $1.49 every time they access this service.  It is easy to obtain the same information for free by simply using Google on your web browser if you have data service. If you do not have data service you can also send a text message to Google 46645 – (that spells GOOGL on your keypad) and within seconds Google sends an SMS message back to you with the results. In the body of the message simply type what you are looking for in this format.

Campus Directory 2008

The 2008 edition of the Campus Directory is now available to order through the Telecommunications website. It will contain only alphabetical office listings for faculty and staff; those listings will be refreshed periodically during the year. It will not contain student listings or the departmental alpha listings. The directories will be sent to you via campus mail through Printing and Mailing for a charge of $5.00 each. EVM and Voicemail Maintenance

Please be reminded that deleting your EVM email from you inbox will not delete the message from your Voicemail box.  Leaving too many messages in your Voicemail box will result in a message to callers saying “the mailbox is full.”  Take advantage of these two links in your email inbox:

Voicemail Tip of the Month – Deleting messages


Deleting multiple messages in your University voice mailbox has never been easier. Since the release of EVM, you can now delete all of your voice messages at once by using the link in your EVM message in your email inbox.  You simply click on the
Delete all messages from my Voice Mailbox link in your EVM email message and enter your mailbox password.  This will empty the contents of your University voice mailbox.

Voicemail Tip of the Month – Recorded Name


Update your recorded name, the name you hear when you dial 86423 from your telephone line. Your recorded name is what callers hear when they call you through U-Call, the University Voice Mail subscriber directory, reply to a voice mail message or hear a standard greeting. To update your recorded name, access your voice mail:

Dial 86423
Enter Password
Press 4-personal options
Press 3-greetings
Press 3-name

Follow the system prompts to update your recorded name. The system asks for your first and last name only however, we ask you record not only your name but also your department and extension, for example: John Doe, OIT, Extension 5555.

  1. After reviewing your message press 8 to reply.
  2.  Record your reply at the tone.
  3.  Press the # button when finished recording.
  4.  Press the # button again to send your reply.

Cell Tower Information

We are pleased to announce that cell towers recently installed on the top of Fine Hall by AT&T and T-Mobile are now operational.  AT&T’s presence on campus is new, while T-Mobile’s tower is their second one on campus.  The new towers will have a significant impact on cellular reception around campus, including inside most campus buildings.  A third tower on Fine Hall belonging to Sprint is expected to become operational in the near future.  We welcome all of your feedback regarding cellular reception.  Please contact Grant Weed at (gweed@princeton.edu)
 

Meet-Me Conference Information

Many of you are already familiar with our meet-me conference feature that is available for your use. However, for those who are not, this feature allows you to set up a conference call for up to 30 parties. To join a conference, conferees simply dial a 258 or toll-free number which is provided by the individual setting up the call.   The form is available on the Telephone coordinators section of our webpage, under Services.  Because of the overwhelming popularity of this service, it has become more important for you to allow a minimum of 24 hours to allow for setup.

AT&T Wireless Premier™ Web Tool

AT&T Wireless telephone account managers now have access to the AT&T Premier online web portal.  This management tool will enhance your ability to administer your AT&T wireless account(s).  Telephone Services has been pilot testing Premier™ for the Princeton community in the last few months, and we are now ready to make this available to all account managers.  You will be able to upgrade phone equipment, order accessories, view statements, pay bills and perform other functions using this resource. If your department is new to AT&T Wireless, please contact Grant Weed at (gweed@princeton.edu) for new account information and set up instructions.

When it was initially released, the Apple iPhone was available only through retail channels.  This month, AT&T has announced that the iPhone is now available for business purchases.  Interested University purchasers, however, should be aware that there are a few limitations in how it interacts with some university applications. The user must have iTunes downloaded to their desktop to be able to synchronize their contacts and calendar (SCAD/DCS must download to DeSC computers).  To synchronize, you need to use a USB cable and retrieve the information using the ITunes interface. The incoming email server must also be set to exchangeimap.princeton.edu to achieve true push/pull email capability.  Please contact Grant Weed at (gweed@princeton.edu) if you need further details.

Verizon Wireless MyBiz Web Tool

We are pleased to announce that the university Verizon Wireless telephone account managers now have access to the Verizon MyBiz web portal.  This management tool will enhance your ability to administer your Verizon wireless account(s).  Telephone Services has been pilot testing MyBiz for the Princeton community in the last few months, and we are now ready to make this available to all account managers.  You will be able to upgrade phone equipment, order accessories, view statements, pay bills and perform other functions using this resource. Voicemail Tip of the Month

Extended Absence Greeting: When you are out of the office for an extended period of time, you may record an Extended Absence Greeting to be played to caller instead of your Personal Greeting. An Extended Absence Greeting cannot be skipped, so that anyone who leaves you a message will be aware that you are away. Once the Extended Absence Greeting is recorded, each time you enter your mailbox you will be asked if you want to delete the Extended Absence Greeting. When you delete the Extended Absence Greeting, your Personal Greeting is reinstated. 


Follow these steps to create an extended absence greeting:

  • Dial into the system V-O-I-C-E (8-6423)
  • Enter your mailbox
  • Press 4 - Personal Options
  • Press 3 - Greetings
  • Press 2 - Extended Absence Greeting
  • Follow the system prompts to record your greeting
  • To Exit, press * until you hear "Goodbye."

EVM Group Mailbox Functionality

Not only can you get EVM delivery on your personal mailbox, you can also have your general Group Mailbox messages sent out to each member of the group when a message is received.  To request this and other EVM services go to http://www.princeton.edu/telecom/EVMfacstaff.html and send an email requesting EVM to be attached to your group.

Cordless Phones now being offered for Faculty and Staff

In response to feedback from the various offices throughout the university we now are offering the Vtech Single-Line Cordless Telephone Set for the price of $24.42 plus installation.  This phone can only use an analog telephone line and have one number assigned to it.  It comes with caller I.D, a 20 station phone directory, and can be wall mounted or used on your desk.  Please visit http://www.princeton.edu/telecom/telephones.html for more information

Voicemail Tip of the Month

Ever receive a call that you need to transfer directly into a colleague’s voicemail and not quite sure how to do it?  Please follow the instructions below.

While you have the caller on the phone: 

  1. Press the transfer button
  2. Dial 8-6423
  3. When you hear the recording press * and enter the person’s mailbox number.
  4. You will then hear the mailbox recording of the user to ensure you’ve entered the correct mailbox.  At this time press the transfer button again to connect the caller and hang up the phone.

Texting and EVM

Did you know that you can receive notification on your cell phone that you’ve received an EVM message in your email when you’re away from the office by text message?  On the left hand side of your EVM settings window is the evmnotify box.  Just insert your cell phone number as displayed below in the example (6095556261@) and click on the link in the bottom of the box Email formats for various cell phone providers  This link will display all the available cell carriers and the correct suffix to add to your cell number after the @ symbol.  Copy and paste the correct suffix to the end of your cell phone number and click Submit Changes at the bottom of the window to save your settings. 

To access your EVM window go to http://evm.princeton.edu/  Most texting plans have unlimited incoming text messages.  Check with your carrier for more information.

WebEx: Web-based desktop conferencing service from OIT now available

Seeing is believing! Now you can show colleagues your digital presentations, artwork, spreadsheets and data sets right from your computer while they watch and engage from their own desktops. Software called WebEx has been licensed by the University so that you can conduct and participate in this type of web-based desktop conferencing, commonly referred to as “webinars.” WebEx allows a meeting host to invite an unlimited number of attendees to take part in a conference and share any application or content on the attendee workstation computers. In order to schedule your first meeting, you must register for a WebEx account. There is no charge for the service but conference hosts must provide a project grant number. You will also find information about the University's voice and video conferencing services, which can complement and add additional interactivity to your conferencing options.

Recycling Mobile devices

Don’t know what to do with those old department cell phones and blackberries?  We encourage departments to recycle them by sending them to Surplus c/o Daron Groce, Purchasing Department, 2nd Floor, New South Building.  The University donates the cell phones to non-profit organizations.  Please help the environment – and the community – by joining in this recycling effort. 

Voicemail Password Sharing

Employees come and go and so must their Voicemail accounts.  When an existing employee leaves the university the telephone coordinator must submit a web form to have their mailbox disconnected.  Please do not share passwords and use the old mailbox to set up a new employee.  Our office needs to have accurate records for displaying employee information on the web and in other locations in our system. Time Change

It’s that time of year again!   When time rolls back an hour, the time change is automatically reflected in many phones. However, some of you may have to change the time manually.  To do so, please follow the instructions below.

  • Press the Program button
  • Then hit the right arrow button underneath the keypad until you see Time and Date set.
  • Press Hold to select Time and Date set.
  • Enter the DD/MM/YY and time in Military time, then hit Hold to enter information.
  • Press the RLS button to return back to the original display.

Mobile technology

Blackberries are proving to be a handy device for the mobile Princeton employee.  With the new 4.2 version of software that comes with the AT&T Curve 8300 and the Verizon Global 8830, you can listen to your office voicemail right through the email inbox on your Blackberry.  These devices are currently on sale for $199 and $189 respectively with a two year agreement.  This is for a limited time only.

The BlackBerry Device Loaner Program offers a portable wireless e-mail solution for Exchange e-mail customers while on the road. Wireless broadband is a technology that makes high-speed Internet access possible over a wireless network, which is equivalent to your cellular phone. Enabled Voice Mail (EVM) is now available to all faculty and staff free of charge. EVM converts voice mail messages into audio files and sends them to your Inbox as e-mail attachments. You can then listen to the messages, delete them, forward them, archive them -- as you would with any e-mail. Anyone who would like to have EVM activated should send e-mail to oitevm@princeton.edu.
