Pre-Draw Retention Scenarios
There are three basic student categories in the Pre-Draw Retention process:
- Students who want to retain with their current roommate through their second year of Graduate school.
- Students who want to pull in others who are not their current roommate.
- Students who are not eligible to retain or be pulled into an apartment.
SCENARIO 1 - Students who want to retain with their current occupants
If you are a currently enrolled first or second year Graduate Student residing in an apartment you will automatically receive an offer email from the Housing Office to retain your current unit by February 21. If you fall into this category and do not receive an offer by this date, please Contact the Housing Office immediately.
- Only those who are fully occupying an apartment either by themselves or with another first or second year student will receive this offer. If you are living in an eligible two or three bedroom apartment with a third year student and above, or are by yourself in a multiple occupancy apartment, you must submit a pull in form in order to receive an offer.
- You cannot retain your current assignment if you are unable to fully occupy your current apartment. If any of the roommates being pulled in do not accept their offer issue, then your bid to retain will become null and void unless you are able to replace them with an eligible student by the deadline. After you receive your retention offer, if you wish to retain, you must accept the electronic offer by March 1. If you do not accept by this deadline, your apartment will be included in the available inventory for room draw and you will need to enter Room Draw if you want housing next year.
- If you do not wish to accept, please reject the offer by March 1. Please be advised that by rejecting the offer, you will have to enter the room draw process if you want housing next year.
Please contact the Housing Office at X3460 if you are applying for the Resident Graduate Student position and are considering participating in Pre-Draw Retention.
SCENARIO 2 - Students who want to pull in others who are not their current roommates
If you are a currently enrolled first or second year Graduate Student residing in an apartment and you wish to retain your current apartment with different roommates you must do the following:
- You must complete the Pre-Draw Retention Pull-in form, located on the Housing web site, indicating who you want to pull-in. This form must be submitted to the housing office by February 19. You may pull in any currently enrolled graduate student in their 1st, 2nd, and 3rd year of study. Your unit must be fully occupied to be retained. Your form must include the signature of any current roommate in their first or second year, waiving their right to retain the unit in the retention waiver section of this form. All current occupants need to be in agreement for Pre-Draw Retention to occur. If all current occupants cannot agree upon retention, then they must enter room draw.
- If you have a change of personal status (i.e. marriage, partner, or child) and you wish to retain with your new family members, you must fill out the Pre-Draw Retention pull in form, indicating them as your pull-ins, and submit all supporting documentation, along with your form to the Housing Office by February 19.
- You will receive an offer from the Housing Office to retain your current unit with your new roommates by February 21. Contact the Housing Office immediately if you do not receive an offer by this date and you fall into this category of student.
- You cannot retain your current assignment if you are unable to fully occupy your current apartment. If any of the roommates being pulled in do not accept their offer issue, then your bid to retain will become null and void unless you are able to replace them with an eligible student by the deadline.
- After you receive your retention offer, if you wish to retain, you must accept the electronic offer by March 1. If you do not accept, your apartment will be included in the available inventory for room draw.
- If you do not wish to accept, please reject the offer by March 1. Please be advised that by rejecting the offer, you will have to enter the room draw process if you want housing for 2013-2014.
- You alone are responsible for clearly communicating your intentions concerning Pre-Draw Retention with your current roommates.
Please contact the Housing Office at X3460 if you are applying for the Resident
SCENARIO 3 - Students who are not eligible to retain or be pulled into an apartment
Any student above G3 will not be eligible for the Pre-Draw Retention process and cannot be pulled into a retaining unit.
- Only G1 and G2 are eligible to retain.
- If you are a G3 you cannot retain and are only eligible for pre-draw if you are pulled in.
- All others who would like to have campus housing must enter the room draw process.
- Any student currently residing in the Graduate College or Annex is not eligible for Pre-Draw Retention.
Please contact the Housing Office at X3460 if you have questions or need further clarification.
