Butler Committee Meeting Minutes

August 7, 2007

Submitted by Jane Phillips (Recording Secretary)

Committee members present: Agatha Lenartowicz (Garden Co-Coordinator), Juan Melli (Webmaster), Patrick Ross (Treasurer), Nicole Jui (Garden Co-Coordinator), Shannon Hughes (Chair), Jane Phillips (Secretary).

Meeting called to order at 9:35pm.

Shannon (Chair): Shannon has draft of email policy for butler-res listserv.  We would like to make clear to residents that butler-res listerv is used for important Butler community business.  The Committee will put the policy on the website.  Shannon will respond to individuals who ask for postings to butler-res.  It was noted that residents can post to TigerTrade and the bulletin board in the laundry room for items for sale, lost and found, etc.  Agatha suggested that we set up a lost and found in the Community Room.  We could also suggest to residents that we will act as intermediary for lost and found items (we can be notified of lost/found items), but the Committee will not generally hold onto found items.  Valuable lost/found items can be sent out to the listserv.  The policy will be edited accordingly and will be posted on the Butler website.  It should also be put into the next Bugle.

Shannon spoke to Jeff Dwoskin (Housing Rep), and he says that the University can potentially deal with adding more Òone-wayÓ signs to the Butler complex.  Broken clotheslines can be put in to facilities as a normal work request.  Jeff and Tara McCartney say that lighting should be put on major maintenance requests.

Apparently the University has decided not to take care of bees outside the community room.  The Committee has decided that if an event is held in the Community room, we will survey the area and take care of any bees, etc. ourselves.

Laura Soltez (Social Chair) wants to know how much money she has for her fall kickoff event.  Laura will figure out what to do once she figures out how much money she has.  The Committee will talk about this again in upcoming meetings.  Agatha suggested that we have a general welcome party with music and beer, etc.  Shannon suggested that we include a volleyball tournament, as in previous years.

Jeff has not yet finished compiling the major maintenance requests, but he will send them when he is finished.  The GSG is requesting lighting to campus from Butler.  Also, one of the air conditioners in the Community Room leaks water (the one on the left against the far wall across from the laundry room).

Apparently a resident in Butler fell through his porch a month after requesting a new porch from Facilities.  Shannon wrote back and said that he should contact Facilities.

Patrick (Treasurer): Our current balance is -$15.32 (from the cable bill).  We do not know how much money we will be getting from the University yet.  Patrick will try to get an estimate from past years.

Nicole (Garden): Gardeners are having a barbecue/potluck on Sunday.  They will be reimbursed from the Garden account after the event.  They have $564 in the account.  They will need to buy charcoal and alcohol for the event.  They will also use some of the supplies in the storage room.

Juan (Webmaster): Nothing new to report for the website.  We still get emails for laundry issues.  About two weeks ago, Patti Smith sent out an email saying that a technician came and looked at the machines and said that all machines were fixed except one, and now there are fewer emails about laundry.  Juan just did laundry, and at least three washers and one dryer are broken.  It seems like having the email address may have helped to get broken machines reported and fixed.  The Committee could remind residents from time to time about reporting laundry problems.

Meeting adjourned at 10:04pm.
