Butler Committee Meeting Minutes 04-06-2009

Committee Members present: David Jorgensen (Butler Chair), Dante Ricci (External Relations Rep), Anna Frost (dolly/Butler life coordinator), Nancy Jones, Bo Xu (Webmaster), Ed Matteo (Treasurer), Bronwyn Smith (Community Room Coordinator), Rachel Galvin (Social Chair)

Meeting called to order at 9:07pm.


David began the meeting with reports from committee members.

Ed (treasurer)- went over Budget report. Was able to go over the bank statement, and everything is balanced to the penny. Scanned receipts from past events. Still need to figure out what exactly the "equipment rental" was for. Assuming it is for table rental for last summer's yard sale. Olivia is looking into it.

Olivia- Bike racks: Looking into getting new bike racks to lock residents bikes up.
Dumpsters: Matt Ferry is aware that our dumpsters are in bad condition. The building services is aware that they need to be replaced. 
Bench will finally be moved to the bus stop. A work order has been issued.
Shrub maintenance only has funds for an annual trimming.
Blue light phone: complicated. No one knows who owns them as to who can/will/should install them.
Crosswalk at Sycamore was asked to be moved. But it is not a university owned cross walk. Any resident can contact the city and ask about it.
Child-care list serv info: Olivia is over that. It is working. Any one who wants info about family friendly events, etc can join the list and will receive information. Anna will do a new update on that in the Bugle and will let Bo know about updating it on the website.

Bo (webmaster)
- on March 3rd Bo sent an e-mail to Butler-com about file share information. The e-mails were received.
Went through the archives to go over leadership through our history of Butler Community .

Nancy (secretary)
- no new business.

 

Anna (Butler Life coordinator)- Sustainability: researched information about what can be discarded in the dumpsters and what should be recycled. Gathered information regarding disposal of chemicals, appliances, etc. But couldn't find info on what to do with furniture, etc.
Website has a lot of links and resources for move-out info.
Jeff mentioned that we still need to find out about the "Pod" (moving bin) policy.
Anna re-introduced the idea of moving the bulletin board from Devereaux & Marshall over to the bus stop. Olivia will put in an order for that.
Updated on the toy clean up & organizing of the community room.
Nancy asked about labeling specific shelves as "TOY" shelves for the smaller items that get lost, etc. Will ask Dwight about using his label maker to do so.
Also, Anna suggested that the yard sale organization get started now. We want good publicity. Rachel is over that so Anna will e-mail her.

Bronwyn (Community Room)- Asked about combining the 5 de Mayo party with the yard sale... But David and Olivia reminded her that community members outside of the university will be attending the yard sale, which means we don't want our food for the party being served to yard sale comers. It is for the grad students. 
Rachel asked Bronwyn to go over the Butler Spring Event: the Caribbean Salsa party dates. Rachel asked for the 18th, 30th of April.  It was agreed that the best time would be the 30th. Bronwyn will put it on the reservation calendar and contact Rachel. Dante asked to be CC'd so he can submit a funding approval from the GSG.

Asked what to do with the broken piano bench. It needs to be A) repaired or B) tossed.
It was suggested that Patrick Ross, who works with wood, to take a look at it to see what's best.

David (chair)- Stopped someone driving the wrong way on Butler st. The driver had NO clue it was a one way street. This is a big problem and needs to be resolved. New ONE-WAY signs need to be posted in appropriate areas.
Jeff also reminded us that we still do not have a "Butler Apartments" sign at the entrance. Jeff suggested that we have a public safety rep come look at our signs, faded and lack of, to encourage Facilities to put them up.

Rachel (Social chair)- came in at the end of the meeting. Bronwyn will no longer need to e-mail her. The next item than is to do crowd control by doing an RSVP. E-mail should read that "there are limited numbers for attendance", so and so forth.
It is strongly suggested that 5 de Mayo be done in Junio (June). Rachel wants to do it May, but its such a busy time with Reunions, move-outs, etc. Rachel will check on a good date. Thursdays are highly recommended.

Dante (external relations)- Housing Plan: due to economic climate, plan was re-worked. Butler WILL be torn down in a few years, regardless of anything else. Where Butler Residents end up depends on what contractors they can obtain. If they can't get a developer to contract with us, they'll leave Hibben-Magie standing but only inhabit one at a time (ie: Hibben will be lived in while Magie is being upgraded, and vice-versa). If they CAN get contractors, they will be moving faculty & staff out of Stanworth for grad students to move in. Once they start transitioning some Butler residents into other housing,  parts of Butler will begin to be sectioned off & torn down. If NO developers, Butler will be moving out sooner.  There are about 20 Butler units that are needing repair but not cost worthy, and there are 45 vacant units in Hibben-Magie. 1/3 reduction will be available for faculty/staff... so if they can reserve some of Stanworth for faculty/staff they will do so. Butler/Stanworth task force: met on Saturday to update "to-do" list. What amenities, etc will be needed/desired for future residents. They will be amending by-laws to include the needs of future Stanworth residents. Which will require a draft and approval from committee and community. Changing the name was decided to be premature. But most definitely the by-laws will need to be amended. Anna has a document printed out about concerns that have been discussed in the task force meetings. The concerns/questions/issues will be available to the residents soon. That way any other issues can be expressed by residents out side the committee.
David explained that the bylaws will be submitted to the committee next month, and voted on the following month's meeting. E-mails will notify residents of the by law changes and will be invited to attend these meetings.
